What you will do

  • Draft professional, well-structured proposals using meeting notes, scope descriptions, and internal templates.
  • Prepare CA, hourly, or monthly invoices based on employee/contractor hours.
  • Process biweekly payroll and track PTO balances in QuickBooks.
  • Manage 30+ active projects in Asana, updating tasks and entering notes from weekly team meetings.
  • Maintain accuracy across multiple administrative and operational processes.
  • Support project workflow, ensuring deadlines and deliverables stay on track.

What you'll need to know

  • Strong administrative or operations background.
  • Excellent writing, grammar, and editing skills, clarity and professionalism are essential.
  • Experience with invoicing and payroll (QuickBooks strongly preferred).
  • Familiarity with Asana or similar project/task management tools.
  • Ability to work independently, stay organized, and manage multiple priorities.

A great plus

  • Experience working in construction, architecture, or engineering fields
  • Understanding of full project cycles including invoicing, budgets, change orders, and workflows.
