What you will do

  • Support Project Managers with administrative and coordination tasks related to ongoing construction projects.
  • Manage project documentation, including submittals, RFIs, consultant agreements, purchase orders, and change orders.
  • Maintain accurate and organized project files and ensure proper document control, distribution, and version tracking.
  • Use digital management platforms such as Procore, SharePoint, Unifier, or similar systems.
  • Assist with financial tracking by processing invoices, updating costs, and reviewing payment applications.
  • Coordinate with accounting staff to keep project budgets current and accurate.
  • Help organize schedules, compile progress reports, and prepare project summaries or follow-up updates.
  • Prepare meeting agendas, record minutes, and assist with logistics for site visits and coordination meetings.
  • Support procurement activities by issuing bid requests, collecting quotes, and maintaining vendor records.

What you'll need to know

  • Proven experience in administrative support, project coordination, or office management, preferably within the construction, architecture, or engineering industry.
  • A technical background in Architecture, Engineering, or Construction (AEC) is a strong plus.
  • An advanced English Level
  • Strong organizational skills with the ability to multitask, prioritize, and meet deadlines independently.
  • Proficiency with Microsoft Office and digital project management platforms (e.g., Procore, SharePoint, Unifier).
  • High attention to detail and a proactive, solution-oriented attitude
