What you will do

  • Manage TaxDome workflows, including job setup, task tracking, due dates, status updates, and automations.
  • Coordinate client document collection for individual and business tax returns (W-2s, 1099s, K-1s, 1098s, brokerage statements, payroll reports, sales tax records, and more).
  • Maintain clean, complete tax workpapers and enforce standardized naming and filing conventions within the client portal.
  • Support tax prep operations: assemble source documents, tie out basic totals, flag anomalies, and route questions to preparers.
  • Follow up on organizers, missing items, and intake checklists; send client reminders as needed.
  • Assist with extension tracking and quarterly estimate coordination, including status updates, confirmations, and client notifications.
  • Handle e-file and administrative support, including signature requests, engagement letters, authorization forms, delivery steps, and confirmation tracking.
  • Act as the operational hub across the firm by monitoring pipelines, removing bottlenecks, and ensuring tasks are assigned and progressing.
  • Create and maintain SOPs, templates, and checklists, continuously improving repeatable processes.
  • Provide light tech administration, including user setup support, workflow tweaks, standard automations, and tool adoption.
  • Use AI tools (including Juno) to draft first-pass client communications, summarize client notes, and improve consistency, always with human review.
  • Support the firm’s accounting context by working comfortably within QuickBooks Online (supporting client workflows).

What you'll need to know

  • A bachelor’s degree in accounting, administration or similar. 
  • Background in accounting and/or tax, with familiarity across individual and business tax workflows.
  • Comfort using QuickBooks Online in a support capacity.
  • Strong organizational skills, excellent follow-through, and client-friendly communication.
    A process-oriented mindset with a genuine enjoyment of systems, checklists, and optimization through technology.
  • High attention to detail and the ability to manage multiple moving parts accurately and efficiently.
  • A proactive, reliable, and collaborative attitude.

A great plus

  • Experience working within tax or accounting firms.
  • Familiarity with TaxDome or similar practice management platforms.
  • Comfort improving workflows through automation and documentation.
  • Experience using AI tools to support operations and communication.
