What you will do

  • Proactively manage the executive’s calendar, daily agenda, meetings, and scheduling conflicts.
  • Organize and coordinate meetings, including agenda preparation, materials, follow-ups, and note-taking.
  • Track tasks, goals, deadlines, and deliverables across teams, ensuring timely execution and accountability.
  • Manage and triage communications, drafting responses and escalating urgent matters when needed.
  • Prepare reports, presentations, and executive summaries to support decision-making.
  • Leverage AI tools to conduct research, synthesize information, and automate repetitive workflows.
  • Build detailed execution roadmaps for business objectives and personal goals, outlining steps, timelines, and resources.
  • Manage family calendars, personal appointments, and social engagements.
  • Plan and execute personal events and travel, including detailed itineraries, logistics, and vendor coordination.
  • Support household-related tasks such as cash flow tracking, import coordination, and personal projects.

What you'll need to know

  • + 3 years of experience as a Personal Assistant, Executive Assistant, or in a similar role.
  • Advanced English level and fluent Spanish (written and spoken).
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Expert proficiency in Excel and strong experience with digital tools and productivity systems.
  • High attention to detail, discretion, and problem-solving skills.
  • Excellent communication skills and a professional, proactive attitude.
  • Experience using AI tools for research, automation, and workflow optimization.

A great plus

  • Familiarity with project management platforms (Asana, Trello, or similar).
  • Experience with accounting or financial tools such as QuickBooks.
  • A systems-thinking mindset and the ability to anticipate needs before they arise.
